It works by connecting prepaid Mastercards® to the Expensemate app and portal. Managers can set custom spending limits and restrictions for each card, so if your drivers need to make wider vehicle purchases, they can.
Within the app, drivers are prompted to upload receipts and odometer readings immediately after purchase. It is a more robust method of data capture and it helps you streamline your finance and reporting processes.
All spending is captured in real-time and is visible through the Expensemate management dashboard. Here you can manage your account, apply limits, run reporting, and conduct your VAT analysis.

How does Expensemate compare to a fuel card?
Expensemate is a pump price card that can be used at any forecourt that accepts Mastercard® payments.
Will I receive VAT invoices?
Expensemate will send you a monthly statement itemising your transactions via email with a prompt to download your VAT report from the Expensemate portal.
Assuming drivers have captured pictures of their receipts on the Expensemate App, you will be able to download an enriched VAT report from the Expensemate portal in a .CSV file format.
This .CSV file can then be inputted into your accounting package to finalise your HMRC compliant reconciliation process.
